Adding Team Members
Collaboration is at the heart of Sniffer, and adding team members allows your entire team to participate in the feedback and bug tracking process.
- Step 1: Log in to your Sniffer account and navigate to the project where you want to add team members. You can also add members at the organization level to give them access to multiple projects.
- Step 2: Click on “Team,” “Members,” or “Settings” in the project navigation menu to access the team management section.
- Step 3: Click the “Invite Member,” “Add Team Member,” to open the invitation form.
- Step 4: Enter the email address of the person you want to invite. You can typically invite multiple people at once by entering multiple email addresses separated by commas or adding them one at a time.
- Step 5: Select the role you want to assign to the new team member. Roles determine what actions the person can perform within the project.
- Step 6: Optionally, add a personal message to the invitation email. This helps recipients understand why they are being invited and what is expected of them.
- Step 7: Click “Send Invitation” or “Invite” to dispatch the invitation email.
The invited person receives an email with instructions to join your Sniffer project. If they already have a Sniffer account, they can accept the invitation and immediately access the project. If they are new to Sniffer, they are guided through the account creation process before gaining access.
Invitation Methods
Sniffer provides several ways to invite team members, accommodating different workflows and preferences.
- Email Invitations: The standard method for inviting team members. Enter their email address, and Sniffer sends a personalized invitation with a unique link to join the project. This method is secure and creates a clear record of who was invited and when.
- Bulk Invitations: For larger teams, Sniffer may offer the ability to upload a CSV file containing multiple email addresses. This streamlines the process of onboarding entire departments or client teams.
Setting Member Roles
Roles define what each team member can see and do within Sniffer. Assigning appropriate roles ensures that team members have the access they need while maintaining security and control.
- Member: Members can view all bugs, create new bug reports, add comments, and update task statuses. They cannot modify project settings or manage team members. This is the standard role for developers, designers, and QA testers.
- Clients: Clients have the limited access. They can submit feedback through the Sniffer sidebar on your website but may not have access to the full Sniffer dashboard. Guest access is ideal for clients who need a simple way to report issues without managing tasks.
Invitation Expiration: Invitations typically expire after a set period, such as 7 or 14 days. If an invitation has expired, resending it generates a new valid link. Check your organization’s settings for specific expiration policies.
Changing Invitation Details: If you need to change the role assigned in an invitation before it is accepted, you may need to cancel the existing invitation and send a new one with the correct role.
Managing Pending Invites
Keeping track of pending invitations helps ensure that your team is complete and that no one is left waiting for access.
- Viewing Pending Invitations: Access the team management section to see a list of all pending invitations. This list shows who has been invited, when, and their assigned role.
- Invitation Status: Pending invitations may show additional status information, such as whether the invitation email was delivered, opened, or bounced. This information helps you troubleshoot issues with invitations that have not been accepted.
- Canceling Invitations: If you sent an invitation by mistake or the intended recipient no longer needs access, you can cancel the invitation. Click “Cancel,” “Revoke,” or the delete icon next to the pending invitation. The invitation link becomes invalid, and the recipient can no longer use it to join the project.
- Expired Invitations: Invitations that have passed their expiration date appear as expired in the pending list. You can resend these invitations to generate a new valid link or remove them from the list if they are no longer needed.
- Following Up: If critical team members have not accepted their invitations, follow up with them directly. Common reasons for not accepting include invitations landing in spam folders, busy schedules, or confusion about what Sniffer is and why they are being invited. A quick message explaining the purpose of Sniffer and the importance of their participation often resolves delays.
- Invitation Limits: Depending on your subscription plan, there may be limits on the number of team members you can invite. If you reach your limit, you need to upgrade your plan or remove existing members before inviting new ones. Check your plan details in the billing section for specific limits.
By effectively managing your team invitations, you ensure that everyone who needs access to Sniffer can participate in the feedback process, leading to better collaboration and faster bug resolution.
